Information for granted projects / Reporting

Contractual Documents

As soon as a project has been granted, the Host Mentor will receive per regular mail all contractual documents:
- Multipartite Contract (between CRUS & Host Mentor),
- Letter of assignment (including the necessary information to start the project: e.g. confirmation for the cantonal migration offices).

Payment

Sciex has 4 payment dates per year (January, April, July, October).

The payment is done as soon as the following documents have been received by Sciex:
1) Multipartite Contract signed by the Host Mentor
2) Confirmation signed by the Home Mentor
3) Confirmation signed by the Fellow
4) Checklist signed by the respective Regional Office, including the following documents:
- Copy of work contract with signatures;
- Copy of the specification sheet (signed by Fellow) and
- Copy of residence and work permits.

The amount of the granted fellowship and the amount of the 3 Short-term Visits will be paid together after reception of these documents on the third-party account of the Host institution.

Fellowship

The amount of a fellowship is composed as follows:
- Gross salary of the Fellow;
- Social taxes to be paid by the employer (according to SNSF rules);
- Additional allowances of the Fellow (2'500 CHF)*.

* Additional allowances of the Fellow are foreseen to cover the following costs:
1/ Transport:
Travel costs between Home country and Switzerland (max. 1'000 CHF)
Transport within Switzerland (max. 1'000 CHF)
2/ Research:
Participation in Conferences (including external meals and possible hotel costs)
Publication costs
(max. 500 CHF)
The reimbursement will be made on the basis of the effective costs and the Host institution is in charge of reimbursing the Fellow according to its own regulations.
The amount that will not be used at the end of the project will have to be paid back to Sciex.

Gender allocation
Family Allowances are egilible for the Fellows who come with their child/children to Switzerland and if the Fellows do not already receive such allowances from their Home country.  Family Allowances are financed through the social taxes. However, if a difference occurs between the amount that the Host institution has to pay to the Fellow and the amount received from the compensation funds, Sciex will case by case reimburse the difference. To this purpose, the Host institution will have to address an official request to the Sciex Programme Management.

Double fundings
Double fundings are not allowed during the Sciex research stay (even in case of grants, the Fellow will have to stop them for the duration of the Sciex Fellowship).

Short-term Visits

For each granted fellowship, a total of 3 Short-term Visits for the mentors is provided (3 x 2'500 CHF). The amount of the 3 STV is paid together with the amount of the Fellowship - as soon as all contractual documents have been received by Sciex (see below).
The STV have to take place within the project duration and until 2 months after the end of the project.
The eligible costs are: transport travel costs between partner country and Switzerland; transport within country; accommodation and food; hotel costs; daily allowance.
The reimbursement will be made directly by the Host institution according to its own regulations.

Reporting Forms

Every approved project has to fill in every 6 months an Intermediate Scientific and Progress Reporting and an Intermediate Financial Reporting. The intermediate reportings can be submitted electronically to sciex(at)crus.ch

At the end of the project, a final Scientific and Progress Reporting and a final Financial Reporting have to be submitted to Sciex at the latest 2 months after the end of the project. The final reporting have to be submitted per regular post with the original signatures and copy of the receipts to:
